Bookkeeping is the clearest case for a client portal, because the work repeats every month and the documents always arrive late. The tooling question is usually about reducing the same four tasks over and over. What to check before you commit

Can clients upload without emailing?

The single highest-leverage feature for a bookkeeping practice. If the client has to send an attachment, you will chase it.

Does recurring billing just work?

A schedule that generates invoices without you re-typing them. Check whether partial payments and late fees are handled for you.

Which ledger does it support?

Xero and QuickBooks both matter, and they do not cost the same to serve. Confirm your actual ledger, not the one you might switch to.

What happens to your time?

Billable hours against a client, with utilisation reporting. If you cannot see margin per client, you are guessing at your own pricing.

Is the per-seat cost survivable at two people?

Most practices are one to three people. Per-seat pricing at that size is a real cost; check whether the free tier covers evaluation.

Can the client see the work?

A shared view of what was done and what is outstanding reduces 'what is my balance?' emails more than any other feature.

Do reminders go out by themselves?

Overdue invoices chased on a schedule, with a record of what was sent, rather than by whoever remembers.

Can you leave cleanly?

Full export of clients, documents, invoices and payments. Lock-in on a practice's books is a serious risk.

  • Your clients insist on preparing their own books in QuickBooks and only need a portal for viewing — HoneyBook or a portal add-on may be cheaper.
  • You need payroll, inventory or multi-entity consolidation handled inside the same tool; a dedicated practice-management platform may be the better spend.

Questions bookkeeping practice ask

What is the most valuable feature for a small bookkeeping practice?
Document requests the client fulfils themselves. It is unglamorous, it is the thing you do every month, and it removes the email thread entirely. Second is recurring invoicing on a schedule, for the same reason: it is work you already do, only without retyping it.
Should a bookkeeper use the same software as their client's accountant?
No, and trying to is a common source of pain. Your client owns their ledger; you need client management, document collection and billing. The only reason to match is if you are touching their books, and then the integration matters more than the platform.
How do I move a client list over?
Import a CSV. The fields that matter are the client's name, contact email, and any reference you use — engagement number, tax ID, or a note. Everything else can be filled in after the fact.
Is per-seat pricing a problem at two people?
Two seats is the awkwardest number for per-seat pricing. Check the free tier first — you may be able to run the evaluation and a trial month without paying anything, and only decide once the practice is large enough for the model to make sense.
